A professional profile and responsive sales contact are useful starting points, but they do not replace buyer due diligence. Before a first order, an importer, distributor, or retailer should verify that the supplier is a real legal business, can produce the required item, controls quality, and can meet the agreed commercial terms. The depth of review should match the product, market, order value, and risk.

Verify the company and people

Confirm the legal name, registration details, operating address, website domain, business email, phone, and authorized representative. Compare names across quotations, invoices, contracts, and bank accounts. Use independent public records or qualified local support when necessary, and contact the company through a known channel if payment details change.

Confirm capability for the exact product

Ask for current photos or video, product specifications, similar orders, production steps, equipment, capacity, lead time, critical subcontractors, and quality controls. A company may be legitimate but still unsuitable for your particular material, tolerance, quantity, or deadline. Consider a live video tour or on-site audit for important projects.

Review claims and documents carefully

Request only documents relevant to the transaction, such as registrations, test reports, certificates, declarations, licenses, or origin evidence. Check the company name, product or model scope, issuing organization, date, and validity. When a claim is critical, verify it directly with the issuer or an independent specialist rather than relying on a scan.

Test communication, samples, and commercial discipline

Evaluate whether answers are complete, consistent, and timely. Order representative samples and compare them with the written specification. Review quotation clarity, packaging, payment terms, change control, and complaint handling. Be cautious about pressure for unusual payments, third-party accounts, unrealistic prices, or reluctance to document agreements.

Use a pilot order and staged risk controls

Begin with a commercially meaningful but controlled quantity where possible. Use a written contract or purchase order, clear acceptance criteria, appropriate payment protection, pre-shipment checks, and insured logistics. Inspect the delivered pilot, document lessons, and expand only after the supplier performs consistently.
